Privacy Policy
What we collect, how we use it, who we share it with, how we keep it, and how you opt out. Plain language wherever possible.
Who this policy is for
This Privacy Policy explains how Dental's Best handles personal information collected through this website (dentalsbest.com) and the matching service offered here. It applies to information we collect when you browse, use the matching flow, or contact us.
Dental's Best operates as an information and lead-matching service for dental care providers and partners — not a healthcare provider. We are not a HIPAA-covered entity. Information you submit through our forms is general contact and care-preference information, not protected health information in the HIPAA sense.
What we collect
Depending on which parts of the site you use, our data collection can include:
1. Information you submit
When you use a matching flow that asks you questions, you may provide some or all of:
- The type of dental service you're looking for — for example, finding a general dentist, dental implants, teeth whitening, teeth straightening, gum care, veneers, or dental insurance.
- Zip code — for flows that match you to a provider in your area.
- Contact details — name, email, and/or phone number, depending on the form.
- Optional follow-up answers — additional context that helps refine the match (for example, your timeframe or specific care preference).
Not every entry point on this site asks you for personal information. Some partner tiles on the home page take you directly to a partner's own website, where any form you fill out is collected by that partner under their own privacy policy, not ours.
If you contact us through the contact form, we collect what you submit there: name, email, the topic you select, and your message.
2. Information collected automatically
When you visit any page, our infrastructure (Cloudflare, who hosts this site) records:
- IP address (often used to derive approximate geographic location)
- User-agent string (browser, OS, device type)
- The page URL you visited and the referring URL, if any
- A request timestamp
This is standard server-side logging. It's used for site reliability, security (blocking abuse), and aggregate analytics on which pages are useful.
3. Tracking, attribution, and conversion confirmations
If you arrive at this site through an advertising partner, your URL may contain attribution parameters such as utm_source, utm_medium, gclid, fbclid, sub1–sub5, transaction_id, or similar. We capture these so we can credit the partner that referred you and so we can analyze which traffic sources produce useful matches.
When you click a partner tile, we may pass click identifiers (an internal session ID, a transaction ID, and the offer or partner ID) on the URL to the partner. If a match results in a confirmed conversion on the partner's side, the partner may send a confirmation back to our server referencing those same identifiers, along with any reference number they assign (for example, their internal lead ID). These confirmation messages do not include the personal information you submitted to the partner.
We use a small number of cookies and equivalent storage:
dbqcookie — an HttpOnly, Secure, SameSite=Lax cookie with a 30-day lifetime. It holds an opaque session identifier the server uses to associate your visit with the entry point you arrived from and any matching answers you submit during that session. It does not contain your name, email, phone, or zip.- Session storage — used by the matching flow in your browser to keep your answers if you navigate between steps. Cleared by the browser when the flow completes or expires.
- Cloudflare functional cookies — required for security, bot detection, and DDoS protection.
We do not currently use third-party analytics tags (Google Analytics, Facebook Pixel, etc.) on this site. If that changes, this section will be updated.
How we use your information
We use the information you submit to:
- Match you with a provider or partner — by sharing what's necessary to make the match work with the partner or partners best suited to your request. The current list of partners is available on our Partners page.
- Contact you about your inquiry — by phone, SMS, or email, including any communications from a matched provider or partner.
- Credit referring partners for traffic that resulted in a successful match.
- Improve the site — for example, identifying which pages are useful and which aren't, and which questions in the matching flow cause friction.
- Comply with the law — for example, responding to subpoenas, court orders, or formal regulatory inquiries.
We do not use submitted information to train AI models, sell to data brokers, or for unrelated cross-context behavioral advertising.
Who we share it with
We share specific information with specific parties for specific purposes:
Matched providers and partners
When you submit a matching request, we share what's necessary to make the match work with one or more of the partners listed on our Partners page. Once your information is in a partner's hands, that partner becomes a separate data controller. We can't reach into their systems to delete it. If you want a matched partner to stop contacting you, contact the partner directly. (Letting us know at the same time helps us decide whether the partner stays in our network.)
If you click a partner tile that takes you directly to the partner's own website without first submitting any information to us, we do not share personal information with that partner — but the partner will receive standard web request metadata (IP address, user-agent, referring URL, and any click identifiers carried on the URL), and any information you submit on their site is governed by their privacy policy.
Paid-search and sponsored-results destinations
Some partner tiles on this site redirect you to a search results page containing ads from third-party advertisers, served by Google or another search-engine provider. Dental's Best does not control which advertisers appear on that page, does not transmit your personal information to them, and is not responsible for their privacy practices. The advertisers shown are determined dynamically at the time of click by the search-engine auction.
Service providers we depend on
We use a small set of vendors to operate the site:
- Cloudflare — hosts the site, provides DDoS and bot protection, serves the static pages and the matching API. Cloudflare's privacy policy applies to the infrastructure layer.
- Pexels — provides the stock photography on this site. Pexels does not receive any user-submitted information; they provide images that we serve from our own infrastructure.
- Partner-network redirection infrastructure — for partner tiles that redirect to an outside destination, the click passes through partner-network redirection infrastructure that records standard click metadata (IP, user-agent, click identifiers). No personal information you submitted on this site is included in that handoff.
We may add additional service providers (email delivery, analytics, fraud detection) over time. When that happens, the list above will be updated.
When the law requires it
We may disclose information if we believe in good faith that disclosure is necessary to comply with a legal obligation (subpoena, court order, regulatory inquiry), to protect the safety of any person, or to enforce our Terms of Service.
What we don't do
We do not sell your personal information to data brokers. We do not share your information with cross-context behavioral advertising networks. The categories of sharing above are the entirety of where your information goes — there is no "and other unspecified third parties" carve-out.
How long we keep it
We retain information you submit for as long as needed to operate the service, respond to your inquiry, fulfill legal and regulatory obligations, resolve disputes, and enforce our agreements. When information is no longer needed for those purposes, we either delete it or aggregate it in a form that no longer identifies you.
If a regulatory or legal hold applies (for example, a complaint we're investigating), we may keep information longer for as long as that hold is in effect.
Note: matched providers and partners maintain their own retention schedules. Once your information has been transferred to a matched provider or partner, our retention practices no longer govern it on their side.
Your rights
Depending on where you live, you may have legal rights to access, correct, delete, or restrict the use of your personal information, and to opt out of certain types of sharing. Even if your jurisdiction doesn't provide these rights by law, we honor them as a baseline policy:
- Access — ask us what information we have on you.
- Correction — ask us to correct information that's wrong.
- Deletion — ask us to delete your information from our systems. Note that we cannot retrieve information already shared with a matched provider or partner; you'll need to contact them separately.
- Opt-out of sharing — see "Do Not Sell or Share" below.
- Stop being contacted — reply STOP to any SMS, click "unsubscribe" in any email, or contact us.
To exercise any of these rights, use the contact form with the topic "Privacy request." We aim to respond within 30 days.
California residents (CCPA / CPRA)
If you are a California resident, the California Consumer Privacy Act and the California Privacy Rights Act give you specific rights:
- The right to know what personal information we collect, use, disclose, and (if applicable) sell or share.
- The right to delete personal information.
- The right to correct inaccurate personal information.
- The right to opt out of the sale or sharing of personal information for cross-context behavioral advertising.
- The right to limit use of sensitive personal information.
- The right to non-discrimination for exercising any of these rights.
The categories of personal information we collect are described in "What we collect" above. The categories of third parties we share with are described in "Who we share it with."
To make a CCPA / CPRA request, use the contact form with the topic "Privacy request." Specify in your message that you are a California resident exercising CCPA rights.
Do Not Sell or Share My Personal Information
Sharing your information with a matched provider or partner so they can contact you is part of how the matching service works. You consented to that sharing when you submitted the matching form. If you would prefer that we delete your information and stop sharing it, use the contact form with the topic "Privacy request" and "Do Not Sell or Share" in your message.
For the avoidance of doubt: we do not sell personal information to data brokers, and we do not share it for cross-context behavioral advertising.
Security
The site is served over HTTPS (TLS encryption in transit). Submitted form data travels over that encrypted connection and is stored on Cloudflare's infrastructure with access controls. We use limited per-team access; only people who need to see submissions to operate the matching service or respond to inquiries have access.
No system is perfectly secure. If we discover a breach affecting your personal information, we will notify you in accordance with applicable breach-notification laws.
Children
This service is intended for users 18 years of age or older. We do not knowingly collect information from anyone under 18. If you believe a minor has submitted information through our forms, contact us and we'll delete it.
Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent change. Material changes will be flagged on this page; continued use of the Service after a change indicates acceptance of the updated policy.
Questions or requests
For privacy questions or to exercise any of the rights above, use the contact form with the topic "Privacy request."
